Position: Senior Director of External Affairs, BSO at Strathmore
Reports To: Vice President of Development

POSITION PROFILE

  • Highly visible role as the senior Baltimore Symphony Orchestra representative in Montgomery County/D.C. area with responsibility for comprehensive oversight and success of development program for BSO at Strathmore. Position resides in BSO offices in the Music Center at Strathmore in North Bethesda, MD.
  • Member of BSO Senior Management Team – Reports to BSO Vice President of Development. Direct interaction on regular basis with BSO Chairman of the Board, BSO President & CEO, and BSO Board members, including management of the Strathmore Development Committee.
  • Experience, ability, and motivation to build comprehensive annual giving program from current level of $1,000,000 to $2,000,000+ over 3-5-year range with emphasis on recruiting Board leadership candidates and new major donors ($10,000+) from individual, corporate, foundation and government sources.
  • Develop and implement successful cultivation strategies for major donor prospects – Individual/Corporate/Foundation/Gov’t.
  • Direct all aspects of highest-level patrons program – stewardship, events, cultivation, and volunteer management.
  • Supervise two positions - BSO at Strathmore Donor Relations Manager and the BSO at Strathmore Community Liaison.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Organize and manage the Development function for the BSO at Strathmore — establish policies, systems, and procedures; prepare and administer budgets; appoint, lead, evaluate and manage staff.
  • Assist the Vice President in establishing appropriate goals for the Annual Fund and all other Strathmore-specific fund-raising campaigns deemed necessary (endowment, capital, planned giving, etc.) each year.
    • Develop a plan for achieving those goals, and establish a master calendar that outlines all fundraising events and campaigns; coordinate all activities with the BSO master calendar.
    • Identify, recruit, and develop an expanded circle of volunteer leadership to achieve campaign success.
  • Work closely with the Vice President and other designated staff in long-range planning for the BSO at Strathmore; prepare budget projections as needed.
  • Provide support to the President & CEO for the portion of his time directed at fund raising for the BSO at Strathmore.
  • Work closely with the development staff on the planning and management of annual programs for the BSO at Strathmore. Work closely with the Grant Writer on the preparation of proposals for Strathmore-specific institutional grants.
  • Guide the Donor Relations Manager to ensure an effective and comprehensive program for donor and volunteer recognition; appropriate, timely processing and acknowledgement of all gifts, thorough maintenance of donor files and records, and accessibility of needed donor or prospect information.
  • Report regularly to the Vice President on the results and status of all development activities.
  • Serve as liaison between BSO and the Board of Directors and any appropriate Committees as it relates to all fundraising activities, including but not limited to the Strathmore Development Committee.
  • Establish a high level of professionalism and cooperation among the development staff and in dealings with other departments within the BSO and the Strathmore management team.
  • Represent the BSO at Strathmore at appropriate civic and cultural events, and attend conferences as approved by the Vice President.

QUALIFICATIONS AND CAPABILITIES

  • A minimum 5-7 years of successful, hands-on experience in the management of development programs, encompassing direct solicitation of major gifts.
  • Demonstrated ability to identify, recruit, engage, motivate, and support volunteer solicitors to successfully cultivate and close major individual and corporate gift solicitations.
  • A Bachelor’s Degree. An MBA or other advanced degree is preferable.
  • Success in building or significantly expanding one or more large-scale annual fund, major gift, capital or planned giving programs.
  • Must demonstrate the ability to successfully manage relationships with donors & prospective donors; corporate, foundation, and government officials; BSO staff members & musicians; and other constituents.
  • Availability to represent BSO interests at evening and weekend performances and special events, and to travel to the Joseph Meyerhoff Symphony Hall in Baltimore approximately once a week for regular management meetings.
  • A background and/or interest in symphonic music is desirable.

Position:

Director of Fundraising and Administration, OrchKids

JOB SUMMARY
The Director of Fundraising and Administration for BSO’s innovative after-school program, OrchKids, is responsible for the successful implementation and management of OrchKids-designated fundraising initiatives, program budgets and financial reporting, program staff plans, and stewardship of key donors, community leaders, and BSO leadership.  As a spokesperson for OrchKids, the Director is responsible for representing the BSO to school administrators, parents, donors, and members of the community regarding OrchKids’ dynamic role in the community and as a vital component of the BSO’s mission.  The Director will frequently collaborate with artistic, academic and administrative staff, board and community members, and will maintain and build a portfolio of leadership donors and prospects for OrchKids program support.

KEY RESPONSIBILITIES

Fundraising

  • In collaboration with the President and CEO and senior staff team, establish and implement the program’s annual and long-term funding plan (5+ years forward), setting appropriate financial goals and operating budgets for the OrchKids program
    • Develop a plan for achieving those goals, and establish a master calendar that outlines all fundraising events and campaigns; coordinate all activities with the BSO master calendar
    • Identify, recruit, and develop an expanded circle of staff, Board, and volunteer leadership to achieve campaign success
  • Supervise the planning and development of solicitation materials for all aspects of the OrchKids program including a brochure, solicitation mailings, campaign correspondence, and donor acknowledgments as appropriate
  • Report OrchKids fundraising progress to President, Music Director, senior management, and Board of Directors on a regular basis
  • Meet regularly with the Music Director, individual donors and corporate/foundation funders to solicit gifts and give updates on the program’s progress
  • Coordinate major gifts prospects and manage a personal portfolio of leadership prospects and donors to ensure that timely steps are taken toward solicitation, closure, and stewardship
  • Participate as a key team member of the Development Prospect Management Group (PMG) with colleagues from the development department

 

Administrative Management and Supervision

  • Participate in the development of, and implement, a strategic business plan that serves the overall direction for the OrchKids program in ways that are artistically and educationally rich and financially sustainable
  • Manage the day-to-day administrative operations of the OrchKids program, with emphasis on program budget tracking and reporting throughout the season
    • Develop and issue a monthly financial statement for the program’s operating budget
  • Work closely with Accounting and Development staff to ensure transparency in the OrchKids fiscal operations
  • Oversee the hiring and contract administration, approving all expense reports, invoices, and teaching artists’ payroll
  • Marketing and Public Relations: Offer strategic leadership and effective support to marketing and publicity efforts to promote OrchKids, both internally and externally 
    • Create and implement special programs and community events to gain visibility for the program
    • Ensure that the Music Director’s close involvement with OrchKids is utilized to maximum impact for public relations
    • Function as OrchKids liaison with the BSO staff, board, orchestra and volunteers, and encourage mentoring and other forms of involvement
    • Develop a communications plan to internal and external constituencies including a regular e-newsletter
    • Community Partnerships: Build upon existing, and create new, partnerships within the community that add value and enhance the program

REQUIREMENTS AND QUALIFICATIONS

  • Significant leadership skills, with 2-3 years in hands-on fundraising and prospect management with:
    • Experience and success with face-to-face donor relationship building
    • Experience managing the administrative functions associated with gift solicitation
    • Familiarity with strategic development of new funding initiatives
  • Clear passion for music, music education, children, and the support of underserved communities and a perspective on trends and practices within the field of arts education.
  • Top flight administrative and management skills that demonstrate an ability to implement programs successfully; plan new programs; and achieve consensus and alignment among diverse constituencies and partners
  • Personal characteristics associated with success in fund raising, including leadership, strong verbal and written communications skills, professional appearance, and the personality and attitude to deal effectively with the Board, donors, and community leaders

ABOUT OrchKids
Launched in September 2008, under the vision and direction of Maestra Marin Alsop, the BSO’s OrchKids program uses music to create social change for Baltimore’s at-risk youth.  It strengthens whole-community potential by joining parents, school staff, neighborhood volunteers, and local community business partners in a positive, creative environment.  OrchKids is an after-school program devoted to music study, academics, citizenship, community awareness, family and health (emotional, social and physical).

OrchKids currently serves 155 Pre-K through 2nd grade students at Lockerman Bundy Elementary School (LBES) in West Baltimore.  In the 2010-2011 school year, the program will grow to include 180 pre-K through 3rd grade students.  Continued growth will see OrchKids follow its pilot-year students into the 5th grade and beyond, each year replenishing its ranks with a new class of students and additions of satellite locations. The current OrchKids operating budget is $400,000 and will increase to appropriate levels with the addition of new grade levels and satellite locations. Free to every student enrolled, the daily offerings include a healthy supper program, homework tutoring, group music classes, peer and adult mentoring and enriching cultural field trips.

Position: Graphic Designer Department: Marketing
Reports to: Senior Director of Marketing Classification: Exempt


JOB SUMMARY
The graphic designer works closely with the senior director of marketing in the development of all advertising and marketing collateral, including, but not limited to, newspaper and magazine advertising, brochures, posters, direct mail, flyers, banners, signage, logos and web ads. In all functions, the graphic designer is expected to contribute a high of degree of creativity to the development and production processes. The graphic designer is responsible for maintaining the BSO's brand and standards while creating fresh eye-catching designs in keeping with current trends. The graphic designer produces all materials needed to support the subscription and single ticket campaigns and provides direction and support for the development of the annual season campaign.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Function independently and efficiently in a deadline-driven environment, and handle multiple, concurrent tasks.
  • Quickly and creatively assess needs and develop materials as requested by Marketing and other departments including Development, Education, Artistic and Operations.
  • Create and produce all weekly newspaper ads of in support ongoing concert schedule.
  • Manage all design and production projects from inception through completion.
  • Maintain familiarity with all BSO programming to insure accuracy in marketing communications.
  • Proficiency with Adobe CS3 in a Mac environment and insure that the BSO operates at a technical level consistent with industry standards.
  • Adhere to, maintain and enhance organization style guide.
  • Oversee print production processes and maintain familiarity with local production resources.
  • Recruit, organize and supervise the activities of design interns in both print and web formats.
  • Familiarity with direct mail processes and postal design requirements.

    QUALIFICATIONS AND CAPABILITIES

  • Bachelor's degree in Graphic Design or a related field; or equivalent work experience.
  • A minimum of four (4) years increasingly responsible design experience. Specific experience developing print advertisements and brochures.
  • Must have or be able to quickly acquire knowledge of departmental structure, polices, and procedures.
  • Demonstrated superior organizational skills, attention to detail, the ability to meet deadlines.
  • Proficiency with Adobe CS3 or higher and Microsoft Office Suite including, but not limited to, Outlook, Word and PowerPoint.
  • Understanding of and ability to oversee print production processes.
  • Ability to proofread for grammar, spelling and punctuation with a high degree of accuracy.
  • Must demonstrate initiative and strong problem resolution, and be able to participate successfully in a fast-paced, team-orientated environment.
  • Schedule flexibility and willingness to work occasional concert duty.
  • A background and/or interest in symphonic music is a plus.

    JOB SUMMARY

    The Planned Giving Officer will be responsible for the direction, planning, and implementation of the BSO’s planned giving program, including the stewardship and cultivation of donors and prospects for The Legato Circle, the BSO’s planned giving and legacy giving circle.


    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Duties will include the marketing of planned giving through direct and indirect mediums (i.e. seminars, targeted mailers, etc.) as well as exploring expansion opportunities for marketing the program online and through electronic communication.
    • Responsible for cultivating, soliciting and managing a portfolio of planned giving prospects, including BSO legacy and endowment donors, patrons, and allied professionals (i.e., attorneys, financial planners, etc.).  It is expected that the Planned Giving Officer will maintain a portfolio of 125-150 prospects and donors.
    • Create and manage a process of identifying, cultivating and soliciting planned gift prospects.
    • Work closely with the President, Vice President of Development, Director of Major Gifts and Planned Giving, and volunteer leadership to engage prospects.
    • Prepare and submit regular reports on all contacts with volunteers, donors, and prospects.
    • Serve as a liaison to the BSO’s management team to ensure the incorporation of planned giving educational and identification material in all appropriate vehicles (i.e., publications, web pages, annual appeal solicitation pieces, etc.).
    • Keep up-to-date on planned-giving techniques and changes affecting charitable giving, including attending planned-giving seminars and courses
    • Represent the BSO in a professional capacity at BSO fundraising events as well as numerous other civic and community events and forums.
    • Manage the designing, planning, and execution of direct-mail campaigns and provide regular mailings of motivational materials to prospects which will generate an awareness of the BSO’s needs, funding opportunities, and The Legato Circle and its benefits and services.
    • Maintain sufficient records, contact reports and background data to facilitate periodic reports on activities, costs, and results. Analyze and report on marketing initiatives for ascertaining return on investment and program impact.
    • Establish procedures for tracking, rating and qualifying prospects and for recording and reporting gifts. Regularly review and develop recommendations for gift acceptance policies and ensure that existing policies are followed. Establish and maintain follow-up system(s).
    • Promote a collegial atmosphere within the development department, working cooperatively with all fundraising officers to help them and the department attain their overall financial and stewardship goals.

    QUALIFICATIONS AND CAPABILITIES

    • Minimum three years experience in a fundraising environment:
      • Must demonstrate the ability to successfully manage relationships with donors & prospective donors, BSO staff and musicians, and other leadership volunteers.
      • Experience managing the administrative functions associated with gift cultivation and solicitation
    • A working knowledge of planned giving, financial and/or estate planning concepts is highly desirable. 
    • Must demonstrate initiative and strong problem resolution, and be able to participate successfully in a fast-paced, team-orientated constantly changing environment.
    • Ability to adjust schedule as needed for support at functions, which frequently occur on evenings and weekends.
    • A background and/or interest in classical music is desirable.
    • Candidates must possess exceptional written and oral communication skills.
    • Familiarity and/or an interest in the performing arts preferred.
    • Ability to operate a computer; proficient in Microsoft programs, including but not limited to Excel, Access, Outlook and Word. Ability to learn other software programs as needed. Previous experience with Tessitura preferred.
    • The successful candidate will have a high level of personal motivation, initiative and creativity.
